How to Scan Bank Statements

Using Your Smartphone

Best Practices

  • Use natural daylight or bright, even lighting
  • Place statement on flat, dark surface
  • Hold phone parallel to document (not angled)
  • Keep steady - use both hands or prop phone
  • Include entire document in frame
  • Tap screen to focus before capturing

Recommended Apps

  • Adobe Scan
    Auto-detects borders, free
  • Microsoft Lens
    OCR built-in, integrates with OneNote
  • CamScanner
    Batch mode, image enhancement
  • Notes App (iOS)
    Built-in document scanner

Using a Flatbed Scanner

Optimal Settings

  • Resolution: 300-600 DPI for best OCR
  • Color mode: Grayscale or color (not black/white)
  • Format: PDF or high-quality JPG (300+ DPI)
  • Clean glass before scanning
  • Align statement straight on glass
  • Use descreen option for printed statements

When to Use Flatbed

  • Old or fragile statements that might tear
  • Faded or low-contrast documents
  • Large volumes (10+ pages)
  • Statements with small fonts or fine print
  • Professional-grade quality requirements
  • Multi-page statements with ADF feeder

Batch Scanning Multiple Statements

Organize Before Scanning

  • Sort statements by date and account
  • Remove staples, paper clips, or bindings
  • Smooth out folded or creased pages
  • Clean any dust or debris from pages
  • Check for torn edges and repair if needed

Efficient Workflow

  • 1.Scan all pages from one statement
  • 2.Save with descriptive filename (e.g., Chase_2024-01.pdf)
  • 3.Upload multiple files at once to our converter
  • 4.Download combined Excel with all transactions
  • 5.Auto-merge statements by account in output

Image Quality Requirements for Best OCR

Resolution

Minimum 300 DPI. Higher is better for small fonts or faded text. Recommended: 300-600 DPI

Focus

Sharp, clear text with no motion blur. All numbers must be readable. No blur allowed

Lighting

Even, bright light without shadows or glare across the document. Natural light preferred

Complete Document

Entire statement visible with no cropped edges or missing information. Include all borders

Common Quality Issues to Avoid

Glare and Reflections
Don't use flash; avoid glossy paper glare
Shadows Across Text
Ensure even lighting from all angles
Blurry from Camera Shake
Hold steady or use tripod for phone
Angled or Cropped
Keep camera parallel to document
Low Resolution
Below 300 DPI causes OCR errors
Poor Contrast
Light text on dark background unreadable

Troubleshooting Scan Quality Issues

OCR is missing some transactions

Cause: Low resolution, blur, or poor contrast in those areas.

Solution: Re-scan at 600 DPI, sharpen image in editing software, increase contrast, ensure all text is clearly visible before uploading.

Amounts are being read incorrectly

Cause: Similar looking characters (8 vs 3, 1 vs 7), smudged ink, or low contrast.

Solution: Scan at higher resolution, clean original statement, use grayscale mode to improve contrast, manually verify after conversion.

Old, faded statement isn't converting

Cause: Low contrast between faded ink and paper, thermal print degradation.

Solution: Use flatbed scanner at 600 DPI, increase contrast in image editor, try scanning in color mode, avoid phone photos of very old documents.

Statement has water damage or stains

Cause: Physical damage makes text difficult to read.

Solution: Scan at highest resolution (600+ DPI), use image editing to enhance contrast, adjust brightness/levels to make text stand out from stains.

Phone photos have glare or hot spots

Cause: Reflection from glossy paper or lighting angle.

Solution: Move away from direct light, use diffused natural light, tilt phone slightly to find glare-free angle, use scanning app with glare removal, avoid flash entirely.
